Aletheia Advising Privacy Notice

Effective Date: January 12, 2026
Last Updated: January 12, 2026

At Aletheia Advising (“Aletheia Advising,” “we,” “us,” or “our”), we value the privacy of individuals who use our website and related services (collectively, our “Services”). This Privacy Notice explains how we collect, use, disclose, and otherwise process information about users of our Services (“you” or “your”).

By using our Services, you understand that we may collect and process information as described in this Privacy Notice.

Important Note About Professional Communications

Submitting information through our website, intake form, email, or other channels does not, by itself, create a professional-client or attorney-client relationship, and communications through the website may not be privileged unless and until a formal engagement is confirmed in writing. Please do not submit highly sensitive information until we confirm the engagement and the appropriate secure method for sharing.

1. Definitions

Personal information is information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked (directly or indirectly) with a particular individual.

Personal information does not include information that is deidentified or aggregated such that it cannot reasonably be used to identify an individual.

2. Information We Collect

We may collect personal information from (a) information you provide, (b) information collected automatically when you use the Services, and (c) information from third parties.

A. Information You Provide to Us

Contact and inquiry information. If you contact us, request information, schedule a consultation, or otherwise communicate with us, we may collect: name, email address, phone number, mailing address, company name, title/role, and the contents of your message and attachments.

Intake forms and questionnaires. If you complete an intake form or questionnaire, we may collect information you submit about your business, operations, goals, and related details. Depending on the form, this may include information about your customers, vendors, employees/contractors, data processing practices, and compliance needs.

Events. If you register for an event we host (in-person or online), we may collect: name, contact information, company, title, and information relevant to registration and attendance.

Testimonials and submissions. If you submit a testimonial, review, comment, or other content, we may collect the information you choose to provide, including your name and the content of the submission. If content is posted publicly, it will be visible to others as described at the time of submission.

Payment and billing information. If you purchase Services or pay an invoice, we may collect billing contact information and limited payment-related details (such as payment status, invoices, and transaction identifiers). Payment card information is generally collected and processed by our third-party payment processor(s) (for example, Stripe, PayPal, or similar), and we typically do not store full payment card numbers on our servers.

Optional customization: Replace the example processors above with your actual vendors (or remove the parenthetical examples).

B. Information Collected Automatically

When you use our Services, we (and our service providers) may automatically collect:

Device and usage data. IP address, device identifiers, browser type, operating system, referring URLs, pages viewed, time spent, links clicked, and similar usage data.

Cookies and similar technologies. We use cookies, pixels, and similar technologies to enable site functionality, remember preferences, understand site performance, and measure marketing effectiveness. See Section 6 (Cookies and Tracking Technologies) for details.

C. Information From Third Parties

We may receive information about you from third parties, including:

  • Service providers (e.g., analytics providers, scheduling tools, payment processors, customer relationship management platforms, email providers).

  • Social media platforms if you interact with our pages or content (subject to your privacy settings with those platforms).

  • Business partners or referrals if you are introduced to us and they share your contact details.

3. How We Use Personal Information

We may use personal information for the following purposes:

  • Provide and operate the Services, including responding to inquiries, scheduling calls, delivering requested materials, and providing client support.

  • Process payments and administer billing, including invoices, receipts, transaction confirmations, and payment reconciliation.

  • Communicate with you, including sending administrative messages, updates, and responding to requests.

  • Marketing and outreach (where permitted by law), including sending newsletters or updates. You may opt out at any time (see Section 7).

  • Improve and secure the Services, including analytics, troubleshooting, testing, and maintaining the safety and integrity of our website and systems.

  • Compliance and legal obligations, including to detect, prevent, and respond to fraud, misuse, security incidents, and to comply with applicable laws and enforce agreements.

4. How We Disclose Personal Information

We may disclose personal information in the following circumstances:

A. Service Providers

We may share personal information with vendors who perform services on our behalf, such as website hosting, analytics, scheduling, email distribution, CRM tools, and payment processing. These vendors are authorized to use personal information only as needed to provide services to us.

B. Professional Advisors

We may disclose information to our professional advisors (e.g., lawyers, accountants, insurers) as necessary for business and compliance purposes.

C. Business Transfers

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, dissolution, or sale/transfer of assets, information may be disclosed as part of that transaction, consistent with applicable law.

D. Legal and Safety Reasons

We may disclose information if we believe in good faith that disclosure is necessary to: comply with law or legal process; respond to lawful requests; protect rights, safety, and security; investigate fraud or security issues; or enforce our terms and policies.

E. With Your Consent

We may disclose information for other purposes if you direct us to do so or provide consent.

F. Public or Shared Content

If the Services allow you to post content publicly (for example, a testimonial), that content may be visible to others consistent with how it is displayed at the time you submit it.

5. Sensitive Information

Please do not submit sensitive personal information (such as Social Security numbers, driver’s license numbers, financial account numbers, precise health information, or other highly sensitive data) through general website forms unless we specifically request it and provide a secure method for submission.

6. Cookies and Tracking Technologies

We use cookies and similar technologies for:

  • Essential functionality (for example, security features and basic site operations).

  • Preferences (for example, remembering form entries or language settings).

  • Analytics (for example, understanding how visitors use our website).

  • Marketing (for example, measuring the effectiveness of campaigns), if enabled.

Your choices. You can control cookies through your browser settings and may be able to opt out of certain analytics/advertising features through vendor-provided tools. If you disable cookies, some site functionality may be limited.

Do Not Track. Some browsers offer a “Do Not Track” signal. Because there is not a consistent industry standard for responding to those signals, we do not respond to them in a uniform way.

7. Your Choices

Email marketing. You may opt out of marketing emails at any time by using the “unsubscribe” link in the email or by contacting us at the address in Section 12. Even if you opt out, we may still send non-marketing messages (for example, scheduling, invoices, or service-related notices).

Text messages. If we offer SMS communications, you can opt out by replying “STOP” (or following the opt-out instructions provided at the time of sign-up).

Cookies. See Section 6 for cookie controls.

8. Data Retention

We retain personal information for as long as reasonably necessary to: provide the Services; maintain business records; comply with legal, accounting, or reporting requirements; resolve disputes; and enforce agreements. Retention periods may vary depending on the nature of the information and why it was collected.

9. Data Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information. However, no system is 100% secure, and we cannot guarantee absolute security.

10. Children’s Privacy

Our Services are not directed to children under 13 (or under 16 in certain jurisdictions), and we do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact us so we can take appropriate steps.

11. U.S. State Privacy Rights (If Applicable)

Depending on where you live, you may have certain rights regarding your personal information, which may include the right to:

  • Request access to and/or a copy of certain personal information we maintain about you;

  • Request deletion of certain personal information;

  • Request correction of inaccurate personal information;

  • Opt out of certain processing, such as targeted advertising, sale of personal information, or certain profiling (where applicable);

  • Not be discriminated against for exercising your rights.

California Residents (CCPA/CPRA)

California residents may have additional rights regarding “personal information” as defined under California law, including rights to know, delete, correct, and opt out of certain disclosures.

Sale/Sharing: We do not sell personal information in exchange for money. [Choose one: We do not “share” personal information for cross-context behavioral advertising / We may “share” personal information for cross-context behavioral advertising if marketing cookies are enabled.]

Customization note: This sentence should reflect your actual marketing/analytics configuration (especially if you run ad pixels or remarketing).

How to Submit a Request

To exercise your privacy rights, contact us using the information in Section 12. We may need to verify your identity before fulfilling certain requests. If an authorized agent submits a request on your behalf, we may request proof of authorization.

Appeals (where required): If we deny your request, you may appeal by contacting us and stating you are appealing a privacy request decision.
